AI Policy & Ethical Principles

1. Purpose
This AI Policy explains how LabelFlow uses artificial intelligence responsibly and transparently to support labels, artists, and their teams in managing workflows, communication, and creative processes.
2. Responsible Use of AI
LabelFlow integrates AI tools to assist with:

generating professional text drafts (e.g., artist onboarding, release descriptions),

automating administrative and communication workflows,

structuring and analyzing non-personal metadata (e.g., release info, timelines).
AI is designed to support human users, never to replace human judgment.
Final decisions remain the responsibility of the label, artist, or user.
3. Human Oversight
All AI-generated content is reviewed by a human before being published, distributed, or sent to artists, partners, or external stakeholders.
The user remains responsible for verifying accuracy and appropriateness.
4. Data Ownership & Use
All material uploaded by labels, artists, or partners - including audio files, artwork, metadata, and related assets - remains 100% the property of the uploader.
LabelFlow and its owner do not claim ownership, licensing, or distribution rights over user content.
Uploaded materials are only processed or temporarily stored for the operational purpose of providing the Service (e.g., generating communications, organizing project data).
No uploaded content is used to train AI models or shared with any AI provider for training purposes.
5. User Responsibility for Inputs
Users are responsible for ensuring that any data, text, or content provided to AI systems:

is lawful and does not violate copyright, contractual, or moral rights,

does not contain confidential or sensitive third-party information without consent,

does not include illegal, defamatory, or discriminatory content.
We reserve the right to restrict access or remove content that violates these principles.
6. Transparency and Fairness
We aim for clear transparency about when and how AI contributes to workflows.
When appropriate, users and collaborators will be informed that certain texts, suggestions, or communications were AI-assisted.
We strive to prevent bias and unfair outcomes by continuously reviewing AI outputs and prompts.
7. Compliance and Accountability
We adhere to GDPR principles and actively prepare for compliance with the EU AI Act.
All AI integrations are reviewed for ethical and legal impact.
Accountability for AI use lies with Till Antonio Mahler as the controller and operator of the Service.
